sharemundo and document structuring for complex projects
It is of the utmost importance to ensure efficient management and rigorous monitoring when it comes to producing a substantial corpus of documentation for industrial projects. This fact is even more relevant when it comes to working for the nuclear industry.
A well-organized and accessible database not only ensures traceability and regulatory compliance, but also optimizes internal processes and facilitates informed decision-making.
Documentation management in complex projects
Well-structured, comprehensive, and readily accessible documentation is instrumental in minimizing risks, enhancing product and service quality, and boosting productivity. Furthermore, it fosters collaboration between stakeholders and ensures improved knowledge sharing within the organization. For this reason, the implementation of processes and the use of well-suited project management tools, or documentation management ones in this case, are pivotal to the success of industrial projects.
Westinghouse is a leading supplier of nuclear technologies and products. Over the years, the company has become a recognized benchmark in the energy market.
The company, founded in 1886 in the United States, has a strong international presence, as evidenced by the fact that approximately 50% of the world’s active nuclear power plants are based on Westinghouse technology.
While the company is most widely recognized for its contributions to the global nuclear equipment and services industry, its scope of operations also extends to the development of new power plants (AP1000) and the administration of high-stakes nuclear projects.
In the wake of the Fukushima catastrophe, new safety regulations were introduced for operators, particularly in France, where the construction of emergency diesels was mandated to ensure the continued operation of units in the event of disruption to the power supply.
Westinghouse has been assigned a portion of the construction scope for the 1300MWe units. As this was Westinghouse's first project in France, it naturally involved a significant volume of documentation production, amounting to approximately 5,000 technical documents. The project also required the input of some fifteen suppliers, as well as documentation monitoring services provided by sharemundo.
Westinghouse was required to adapt its internal processes to accommodate an increase in internal document production, as well as that of external stakeholders, including suppliers and subcontractors. To ensure quality and compliance, full technical supervision was essential.
The sheer volume of documents to be provided, the multiplication of document production sources, the lack of process standardization between different project stakeholders, and an extremely demanding schedule were all factors that had to be considered if the project was to be a success.
The sharemundo solution
Conclusion
Sharemundo established a structured document management system and configured all the necessary indicators to monitor the project, validate project milestones, and initiate invoicing. The distribution and reception of documents, the updating of tracking tools, and day-to-day monitoring helped to prevent any delays and, most importantly, ensured transparency throughout the project.
